The Problem

Kris Lindahl Real Estate is a multi-office boutique real estate brokerage that needed a better way to communicate securely with other agents and team members. After looking for the right team, Idea Maker came out victorious as the best intranet portal design company for the Kris Lindahl Team.

In a real estate office, you work with clients and need a way to keep all the records of your buyers and sellers safe and secure. You need to communicate to your principal broker and other agents in your office regarding confidential forms and contracts. An intranet system makes this process easy and secure.

Another problem that needed to be solved was tracking and administering new training within the office, and keeping agents accountable for their license renewals, and staying on top of the new legislature around housing and real estate.

Further, Kris Lindahl Real Estate needed an internal search option for finding homes for their clients without having to bounce around the local Multiple Listing Service and Realtor webpages.

Finding a pre-built intranet system that fit these needs and provided room to grow seemed increasingly impossible until the team decided to hire IdeaMaker to create their custom resources.

In close collaboration with the staff that would be using the software most, Idea Maker created an inclusive intranet system that checked all the boxes and filled some needs that the company could grow into later.

By customizing the software, Idea Maker created a specific solution to the Kris Lindahl Real Estate branding and added a sense of professionalism that other intranet systems lacked. While the customer would rarely, if ever, see the intranet setup with their agent if they do, it will be recognized as part of the overall brand.

What We Did

Real estate agents or brokers are required to maintain a certain number of continuing education classes per year with all states. This intranet system simplifies the process by offering certified courses, office-specific training, license renewal courses, and other resources through the dedicated intranet.

Within the intranet system, there are forums that brokers and agents can contact other agents on the team. This is an excellent resource for simple tasks like finding an agent to host an open house or research a property for a client. This is also a perfect way for agents to keep in contact with their transaction coordinators and team leads when so much of our work is done remotely now.

Each state has its required forms, caveats, addendums, and disclosures involved in the home buying process. This intranet system provides easy-to-access links to all of these forms and more to simplify the process of writing or completing a contract. In most states, these forms must be from a reliable and authorized source or individually drawn up by an attorney. With these state resources, the documents are already approved for use and readily available.

The local real estate licensing boards maintain a database of all the available homes, called a Multiple Listing Service, or MLS. The intranet built for Kris Lindahl Real Estate has a fully integrated API with the local MLS with a map search feature that includes filter options.

An agent can go into the intranet, fill in the client’s criteria, save that search, and set up notifications for new listings that fit that criteria. This significantly automates one of the more time-consuming tasks of a broker or agent.

One of the best ways to acknowledge great work and to encourage teamwork is to create a sense of kindhearted competition. With a leaderboard in the intranet system, agents who are struggling know who to ask for advice and can set goals based on the sales coming from their team.
